Operations Manager

Responsibilities
  • Register and coordinate purchase and sales orders; ensure smooth end-to-end order execution.
  • Prepare and maintain order data: lead times, quantities, documents, delivery terms, and conditions.
  • Ensure order fulfilment follows the approved process; manage deviations by documenting, communicating, and escalating when needed.
  • Maintain product and service accounting in CRM: specifications, quantities, cost, expected/actual gross profit, yield (per defined rules).
  • Maintain a consistent document structure; ensure strong document control discipline.
  • Ensure accuracy of statuses and required fields; record and track discrepancies across systems.
  • Ensure sufficient stock of non-standard pallets in the warehouse and maintain optimal e-shop product availability.
  • Coordinate replenishment and needs with internal departments and stakeholders.
  • Register/fill production orders in the long-term plan according to guidelines; provide inputs to improve planning accuracy.
  • Proactively communicate risks (missing materials, lead time issues, non-conformities) on time.
  • Execute corrective and preventive actions related to non-conformities.
  • Prepare and hand over required customs documents and data to customs and/or couriers.
  • Collaborate with logistics partners on the execution level: shipment statuses, document corrections, and operational problem-solving.
  • Substitute the Logistics and Warehouse Manager within an agreed scope.
  • Identify process gaps (error sources, waste, delays), propose improvements to the Chief Coordinator and Operations Manager, and participate in implementation, improvement, and testing.
  • Escalate to the Senior Operations Manager when critical data is missing, customer/deadline risk appears, specifications don’t match, system discrepancies are found, or a process decision is required.

Make OPTOMAN operations run like clockwork: ensure every order, document, and system record is accurate, compliant, and on time — while actively improving processes, preventing issues, and enabling teams to deliver world-class optical products without friction.

Required superpowers
  • Bachelor’s degree (preferred: engineering sciences or management).
  • 1+ year of experience in a similar role (procurement, accounting, operations, order coordination).
  • Strong MS skills: MS Office, experience with ERP/MRP systems with a strong document management discipline.
  • Ability to handle high information flow with strong attention to detail and accuracy.
  • Basics of logistics, customs processes.
  • Understanding of optical specifications (e.g., coating types) and ability to spot mismatches (advantage)
  • Fundamentals of inventory/accounting (products/services).
  • English B2 (spoken and written).
